Location: Altens, Aberdeen
Working Hours: Monday-Thursday, 8:30am-5:30pm | Friday, 8:30am-5:00pm - Early finish!
Contract: Temporary to Permanent Opportunity

About the Role

I'm currently recruiting for a Sales Administrator to join a busy and growing team based in Altens, Aberdeen.

This is a fantastic opportunity for someone who is personable, organised and enjoys working with people, but who is also looking for more than a traditional reception or administration role.

The position offers a varied mix of front-of-house reception, office administration, customer service and support across the Service and Sales teams. You will be the first point of contact for customers and visitors, helping to create a welcoming and professional experience while ensuring the day-to-day running of the office is smooth and efficient.

What makes this opportunity particularly interesting is the potential for career development. Alongside your core reception and administrative responsibilities, you will have the opportunity to gain exposure to the commercial side of the business, develop your sales skills, build customer relationships and gradually take on additional responsibilities.

The business is keen to find someone who wants to learn, grow and develop within the company, rather than someone who simply wants to remain in one position long term. With the right attitude and ambition, there is scope to progress into more sales-focused over time.

Full training and support will be provided to help you learn the business and develop your skills.

Key Responsibilities
Reception & Office Administration

  • Welcome customers, visitors and suppliers in a friendly and professional manner.
  • Answer, screen and transfer incoming telephone calls and respond to emails.
  • Handle general enquiries and direct customers to the appropriate department.
  • Maintain a professional, tidy and welcoming reception area.
  • Provide general administrative support to ensure the smooth running of the office.
  • Maintain accurate records, update internal systems and assist with filing and document management.
  • Coordinate appointments, meetings and general office activities.
  • Support colleagues with administrative tasks and changing priorities as required.

Service & Sales Administration

  • Provide administrative support to the Service and Sales teams, particularly during busy periods, holidays and staff absences.
  • Handle service-related enquiries and provide customers with basic information.
  • Assist with preparing and processing service invoices, including taking payments.
  • Support the processing of sales paperwork and maintain accurate customer records.
  • Prepare and organise documentation relating to vehicle or product sales.
  • Update internal systems and databases accurately.
  • Follow up outstanding information and documentation where required.
  • Liaise with customers and internal teams to ensure clear communication and efficient processes.

Customer Service & Relationship Management

  • Build positive relationships with customers, colleagues and business contacts.
  • Deliver excellent customer service and handle enquiries professionally.
  • Develop an understanding of the company's products, services and customer requirements.
  • Support the team in maintaining high levels of customer satisfaction.
  • Identify opportunities to improve the customer experience and strengthen existing relationships.

Sales & Business Development Exposure

  • Support the Sales team with day-to-day commercial activities.
  • Assist with following up customer enquiries and identifying potential sales opportunities.
  • Learn how to understand customer needs and communicate the benefits of the company's products and services.
  • Assist with preparing quotations, proposals and sales documentation where required.
  • Maintain customer and prospect information within internal systems.
  • Gain exposure to client relationship management, sales meetings and business development activities.
  • Gradually take on more responsibility as your confidence, knowledge and experience develop.

About You
We are looking for someone who is friendly, confident and enthusiastic, with a genuine interest in learning and developing their career.

You may already have experience in reception, administration, customer service, retail, hospitality or sales. Equally, we are interested in someone with the right personality, attitude and ambition who is keen to learn.
Ideally, you will be:

  • Personable and approachable: Confident communicating with customers and colleagues and comfortable being the first point of contact.
  • Organised and reliable: Able to manage administrative tasks, prioritise your workload and maintain attention to detail.
  • Enthusiastic and proactive: Someone who takes initiative, brings positive energy and is happy to get involved.
  • A strong communicator: Confident speaking with people over the phone, face-to-face and via email.
  • Keen to learn: Open to training, feedback and developing new skills.
  • Ambitious: Motivated to take on additional responsibilities and progress within the company.
  • A team player: Happy to support different departments while also developing independence and confidence.

Skills & Experience

  • Previous experience in reception, administration, customer service, retail, hospitality or sales would be beneficial.
  • Good communication and organisational skills.
  • Confidence using Microsoft Office and general computer systems.
  • Strong attention to detail and the ability to manage competing priorities.
  • A professional, friendly and customer-focused approach.
  • An interest in sales, relationship management and business development

Career Development & Progression

This is an opportunity to join a business where you can build a long-term career and develop beyond the initial responsibilities of the role.

You will gain an understanding of how the different departments operate, develop your customer service and administrative skills, and gain valuable exposure to the commercial side of the business.

As you grow in confidence and experience, there will be opportunities to take on greater responsibility across sales, customer relationship management and business development.
The aim is to find someone who can contribute to the business from day one while being supported to develop their skills and progress over time. You won't simply be pigeonholed into one role; the business is keen to support someone who shows initiative, ambition and a willingness to learn.

If you're personable, motivated and looking for a role where you can learn, grow and build a career, this could be an excellent opportunity for you!

If this sounds like you or someone you know, apply now!
